01 What are cookies?

Cookies are small data files placed on your device when you visit a website. They are widely used to make sites work, to work more efficiently, and to provide reporting information. Cookies set by us are first-party cookies; cookies set by others are third-party cookies.

02 Why we use cookies

We keep cookies to a minimum. Inside the portal we use only strictly necessary (essential) cookies that are required to sign you in, keep you secure, and remember basic choices. On our clients' landing pages, a first-party analytics cookie is used only after the visitor consents.

03 The cookies we use

Essential (always on, inside the portal)

• A session cookie to keep you signed in (expires when your session ends).
• A cookie that remembers which workspace (organization) you are viewing.
• A cookie that remembers whether your sidebar is expanded or collapsed.
• An access-gate cookie used while the platform is in private preview.
• A trusted-device cookie, set only if you enable two-factor authentication, so you are not asked for a code again on the same device. It lasts 30 days and is invalidated if you change your password.
• A bot-management cookie set by Cloudflare on the sign-in page, to tell real visitors from automated bots and keep sign-in secure.
• A cookie that remembers your cookie and tracking choices (up to 1 year).

Analytics (first-party, consent-gated, on landing pages only)

• A first-party visitor identifier cookie (up to 1 year) and a session identifier held in your browser session storage (cleared when you close the tab). Both are created only after the visitor accepts tracking, and are used to measure how visitors move through a client's funnel.

We do not use advertising or cross-site tracking cookies inside the portal.

04 How to control cookies

You can decide whether to accept or reject non-essential cookies. On our clients' landing pages, a consent banner lets you accept or decline analytics tracking; essential cookies cannot be turned off because they are required to provide the service. If you decline, you can still use the site, though some functionality may be limited.

06 Other tracking technologies

On our clients' landing pages we use a first-party tracking pixel (a small script) to record page visits and funnel steps. It runs only after the visitor consents and uses first-party identifiers. Besides the visitor cookie, it stores one session identifier in your browser session storage, which your browser clears when you close the tab. We do not use Flash cookies, and we do not use any browser storage for advertising or cross-site tracking.

On VNP's own recruitment pages we also use Microsoft Clarity, which records how the page is used (mouse movement, clicks, scrolling and navigation) so we can see where an application form is confusing or where people give up. Microsoft processes this on our behalf, which may involve a transfer outside the EEA under their standard contractual clauses. It is not used on client landing pages and not used inside the portal.

07 Advertising

We do not serve third-party advertising cookies through the portal. Where a client enables it, we send server-side conversion events to advertising platforms (such as Meta) using hashed identifiers, so the client can measure and improve their own campaigns. This does not place advertising cookies on your device through us.

08 Updates to this policy

We may update this Cookie Policy from time to time to reflect changes to the cookies we use or for legal or operational reasons. The date at the top shows when it was last updated; please revisit it to stay informed.
